Privacy policy
EasyKOT is billing software for restaurants. It holds a restaurant's own trading records — its menu, its orders, its takings. This page says exactly what that includes, where it sits, who can read it, and how to get it back or get rid of it.
The person responsible for your data has a name.
EasyKOT is operated by Yunus Sadique Shaikh, a sole proprietorship registered in India. Under India's Digital Personal Data Protection Act 2023 we are the data fiduciary for the personal data described here.

Five things, and nothing else.
- Your account. The owner's name, email address and, if given, a phone number. This is what signs you in to the dashboard and what we use to reach you about your own account.
- Your restaurant. Its name, address, GSTIN, tax settings, menu, tables and printers. This is business information, not personal data, but it is yours and we treat it the same way.
- Your staff. Each person's name, their role, and a PIN. The PIN is stored as a one-way hash — we cannot read it, recover it or tell you what it is, only replace it. Staff names appear against the orders they ring and the discounts they approve, because that is the point of them.
- Your trading records. Orders, kitchen tickets, bills, payments recorded, expenses, and staff pay. These are the records the software exists to keep.
- Your devices. For each till, phone or kitchen screen you enrol: the name you gave it, when it last checked in, and whether it is still authorised. Printers additionally report failure counts — how many jobs failed and in what way — with no order, item, price or customer information attached.
The list that matters more than the one above.
- Nothing about your diners. There is no customer record in EasyKOT. A dine-in order stores a number of guests; it does not store who they were. We hold no diner names, phone numbers, email addresses or order histories, because the software has nowhere to put them.
- No card data, ever. EasyKOT does not read cards. When a bill is settled in cash or UPI the app records that it was settled, for your own books. No card number, expiry or PIN passes through EasyKOT at any point.
- No advertising or analytics trackers in the apps. The captain app and the register carry no advertising SDK, no third-party analytics SDK and no crash-reporting SDK. Nothing in them profiles you or your staff, and nothing is sold or shared with data brokers. If that ever changes, it changes here first.
- No location, contacts, photos or microphone. The camera is used for one thing — scanning the pairing code shown on your own till — and only when you open that screen.
To run your restaurant, and to bill you for the software.
We process the data above to provide the service you asked for: to print your bills, route your kitchen tickets, keep your books, sync your tills, and show your reports. We use your account contact details to send you service messages — a daily summary if you turn it on, a warning when a till stops reporting, a receipt for your subscription. We keep basic records of your subscription because Indian tax law requires us to.
We do not use your trading records to advertise to you, and we do not sell them to anyone, in aggregate or otherwise.
On your own counter first, on our servers second.
EasyKOT is offline-first by design. The authoritative copy of your trading data is the encrypted database on your own till, which is why billing keeps working when the internet does not. That local copy is encrypted at rest, with the key held in the operating system's own keychain.
A copy syncs to servers we operate in India, so that your other tills, your phones and your dashboard agree with each other and so that a lost laptop is not a lost year of books. If we ever move that storage to another country, this page will say so before the move rather than after it.
Subscription payments are handled by Razorpay, an Indian payment gateway. They receive what a payment needs — the amount and the payer's details — and they are the ones who see the card or UPI credential. We never do.
You, your staff as you permit, and a very short list.
Every store's data is isolated from every other store's at the database level, not merely in the interface. Your staff see what their role allows: a waiter sees the floor and the menu, a manager approves discounts and voids, an owner sees the money.
Beyond that, access is limited to the operator named above, and only for the reasons you would want: fixing a fault you have reported, restoring data you have lost, or complying with a lawful order we cannot refuse. We do not browse customer stores.
While you are a customer, plus what the law requires.
Your trading records are kept for as long as your account is open, because they are your books and you will want last year's figures. If you close your account we delete your store data within 90 days of the closure, except for the subscription and tax records Indian law obliges us to retain for longer. Ask us to delete sooner and we will, subject to that same legal floor.
Ask, and it happens — no form, no fee.
- See what we hold. Ask and we will send you a copy of the personal data associated with your account.
- Correct it. Most of it you can correct yourself in the dashboard. Anything you cannot, we will.
- Erase it. You can ask us to delete your account and your store's data. Where a record must be kept for tax, we keep only that record and say which.
- Withdraw consent. Turning off the emails, or closing the account, is always available and never costs you access to data you have already recorded.
- Nominate someone. The DPDP Act lets you nominate a person to exercise these rights if you are unable to. Write to us and we will record it.
Write to hello@easykot.com from the address on the account. We answer within 30 days, usually far sooner.
If something goes wrong, this is the person.
The DPDP Act requires us to name someone who answers complaints about how personal data is handled. That is Yunus Sadique Shaikh, reachable at hello@easykot.com or by post at the address in section 1. If we have not resolved your complaint to your satisfaction, you may escalate it to the Data Protection Board of India.
We date this page, and we mean the date.
When what the software does changes, this page changes with it in the same release — not eventually. The date at the top is the last time it was edited. If a change materially affects what we collect or who can read it, we will email account owners rather than relying on you noticing.
